New Year, New Features

We're excited to kick off the New Year with another amazing product release! It's our job to help you do your job, so get ready for archive enhancements, improved use functionality and so much more!

Archive Enhancements

Better data = Better Insights. We're still improving our reporting feature by giving you more to work with. We have now added even more information to our exported reports:

All Bill and PO reports will now have a column for GL Description.
Bill and PO line level reports will now have columns for Currency, Total Document Tax, Document Total and Matching Status.
PO line item reports will now contain Category 1 and 2.

Task Approvers can now Dispute documents and Email Suppliers

We have also added new functionality to the My Tasks page, allowing users with Task Approval permission to now Dispute documents and Email Suppliers.

Copy Coding from the PO lines to the Bill lines

When PO/Bill lines have been matched, users can now Copy Coding from the PO lines to the Bill lines within the Bill PO Match modal to ensure GL codes, Category 1 & 2 and Misc. Ref fields hold the same data.

Previously, when downloading PDFs from Lightyear, the files had a generic, Lightyear-generated, filename. Now, any PDFs downloaded will have the same filename they were originally uploaded with.

Accountancy Softwares

Netsuite Enhancements

Accounts connected to NetSuite will see some enhancements coming very soon! These are some of the features you can look forward to:

Attachments - Send the PDF attachment of the Bill/Credit Note into NetSuite, along with the extracted data.
Auto-Publish - Export Bills/Credit Notes to NetSuite without ever seeing them. If you receive documents from specific suppliers that you don't need to approve, simply upload to Lightyear and we'll code them based on your settings and send into NetSuite automatically. No touch required!
Sync Projects - Import your Projects into Lightyear and select these on the lines of Bills/Credit Notes to be coded and exported back into NetSuite.

WCBS Enhancements

WCBS customers now have the ability to include a URL link back to the document in Lightyear in their export file. This setting will need to be switched on in the Accountancy Software Settings panel and your version of PASS may need to be updated. Please see the Accountancy Software settings section of our WCBS integration guide for more information.

What's Next

POs - Auto-Order

If the setting has been enabled, Purchase Orders that have been fully approved will automatically move into the Ordered tab, and an email will be sent to the selected Supplier if necessary, reducing unnecessary Ordering steps for businesses that do not have a centralised Ordering process.

POs - Bulk Accept Match and Bulk Unmatch All

Within the PO Matching Modal, users can select multiple lines and choose to either Bulk Accept Match on Partially Matched lines, or Bulk Unmatch lines which have been previously matched.

Create PO on Mobile App

While using the Mobile App, users with relevant permissions will be able to Create a Purchase Order and send on for Approval

Bulk Supplier Upload Enhancements

We are adding the ability to upload Lightyear Departments and set whether or not a supplier uses Grouped Line Data, Auto-Export or is a PO Supplier to our CSV.

Bulk Upload Inventory Information via CSV to Supplier Product List

This includes the case quantity, POS code, product unit type and if the status is current or expired.

Send Multiple Emails

Users will be able to add up to 10 email addresses when sending emails through the Email Suppliers/Dispute, Email Supplier Statement and Email Supplier after Order (Purchase Orders) functions.

Unread Notes Icon

Lightyear is gaining an 'Unread' concept for its Notes feature. Have greater visibility over notes left to you by your team and Lightyear staff. Mark notes as 'Unread' to ensure visibility for other members of your team.
